Storage is the most forgettable money in a moving company. The vault went in eleven months ago, someone was going to raise the invoice, the customer never asked, and the spreadsheet that tracked it left with the person who built it. Meanwhile nobody can say which vault the goods are actually in without walking the floor. It is not that the business is bad at storage. It is that storage was never on the same system as the move.
The account
The days are counted for you. Every period, on its own.
A storage account sits against the job with a rate and a period, and the charges build themselves as time passes. Nobody has to remember to bill March.
Periods roll up daily
Daily, weekly or monthly. Each period becomes its own charge as it is earned, so an open-ended account keeps accruing without anyone touching it.
Priced per box, pro-rated
Each vault or section is its own line. Add one mid-month and it is charged for the days it was actually there, not the whole month and not nothing.
Invoice and a payment link
Turn the periods into an invoice in a click, or batch it across accounts, then send the customer a link to pay it.
The terms you actually agreed
Grace periods before billing starts, minimum terms enforced on the way out, and a lien hold that will not let goods be released while there is money outstanding. Move-out shows you the final part period and what gets waived before you commit to it, so closing an account is a decision rather than a surprise.
The floor
Every box has a cell. And a history.
Build your warehouse as a map, put boxes in cells, and keep the trail of everywhere each one has been. Finding the goods stops being tribal knowledge.
Warehouses, sections, cells
Lay out each section as a grid and place boxes into cells. One box per cell, so the map and the floor agree.
Every movement kept
Loaded, moved, unloaded, with who did it and when. When a box is not where you expect, its history tells you where it went.
Box types with their own rules
Dimensions, capacity, whether it can be shared, whether it needs seal numbers, photos or a checklist. The rule travels with the box type.
Down to the individual item
Transshipment moves individual items between boxes with photos at load in, in storage and load out, and flags anything not sighted. When a customer asks for one thing out of storage, you are looking for an item rather than opening vaults until you find it.
Connected to the move
Storage is not a separate business. So it is not a separate system.
The account hangs off the job. The goods in the vault are the inventory the crew packed. The charge lands on the same invoice as the move.
The same goods, all the way through
What was surveyed and packed is what is in the vault. There is no second inventory to keep in step with the first.
Multiple warehouses and branches
Run more than one site, scoped by branch, without a separate system or a separate spreadsheet per depot.
Military SIT, straight from the tender
Authorise storage in transit on a military order and the storage account opens against the job, tagged to the PCS order or GBL. Withdraw the authorisation and it closes. The government reference follows through to the invoice line, so the billing reference is right without anyone copying it across.
Why it matters
Storage is the annuity. If you can bill it.
A move pays once. A vault pays every month for years, but only if the periods are counted, the invoice goes out and somebody can still find the goods.
